I take your privacy and confidentiality seriously. This Privacy Notice explains how I collect, use, store and protect your personal information when you visit my website, contact me or work with me therapeutically.

Who I am

I am Beth Hodges, a Relationship Therapist providing individual, couples and relationship therapy.

For the purposes of UK data protection legislation, I am the data controller for personal information I hold in connection with my practice.

Information I collect

When you contact me or become a client, I may collect information such as your name, email address, telephone number, appointment information, correspondence and information you provide when making an enquiry or booking a session.

During therapy you may choose to disclose sensitive personal information about yourself, your relationships, family circumstances, physical or mental health or other areas of your life. Some of this is classed as special category data under UK data protection law and is afforded additional protection.

I keep therapeutic records to a minimum. Where session notes are made, these are generally brief handwritten notes and are identified using initials or a code where practicable.

Why I use your information

I use your personal information to respond to enquiries, arrange and provide therapy, manage appointments and payments, maintain appropriate professional records, communicate with you, and meet my professional, ethical and legal responsibilities.

The lawful basis I rely upon will depend on the information and circumstances and may include performance of a contract, legitimate interests and legal obligations. Where I process special category information, I also rely upon an appropriate condition permitted by UK data protection law.

Confidentiality

What you share with me in therapy is treated as confidential.

There are limited circumstances in which confidentiality may need to be broken, for example where there is a serious risk of harm, a safeguarding concern, or where disclosure is required by law. Where appropriate and possible, I would aim to discuss this with you before information is disclosed.

I may discuss my clinical work confidentially within professional supervision as part of good therapeutic practice. Identifying information is kept to the minimum necessary.

Couples therapy

When I work with a couple, therapeutic information may relate to both individuals.

I take particular care with the confidentiality of joint work. One person's right to access their personal information does not automatically entitle them to receive information relating to the other person or confidential material arising from joint therapeutic work.

Any request for records relating to couples therapy will therefore be considered carefully in accordance with data protection law, confidentiality and my professional and ethical responsibilities.

How I store your information

I take reasonable steps to keep personal information secure and restrict access to it.

Therapeutic notes, where made, are generally handwritten and identified by initials or a code rather than full identifying information where practicable.

I normally retain adult client therapy records for seven years following the end of our therapeutic work, unless there is a legal, regulatory or other legitimate reason to retain particular information for a different period. Information is then securely destroyed or deleted.

Website, bookings and payments

My website is hosted through Wix. If you complete an enquiry form, book an appointment, subscribe to communications or otherwise provide information through my website, Wix may process information in order to provide these services.

Payments may be made by bank transfer or through the payment facilities available via Wix. Where a third-party payment provider processes a payment, that provider processes the information necessary to complete the transaction. I do not receive or retain your complete payment-card details.

I retain appropriate financial records where required for accounting and tax purposes.

Cookies

My website uses cookies and similar technologies. Where consent is required, you can choose whether to allow non-essential cookies through the cookie settings available on the website.

Mailing list

If you choose to subscribe to my mailing list, I use the contact information you provide to send you the communications you have requested. You can unsubscribe at any time.

Sharing your information

I do not sell your personal information.

I may use trusted organisations that provide services necessary to operate my practice, such as website, booking, payment, email or IT providers. Information may also be disclosed where I have a legal obligation to do so or where another lawful basis for disclosure applies.

Your rights

Depending on the circumstances, UK data protection law gives you rights concerning your personal information. These can include the right to request access to information I hold about you, ask for inaccurate information to be corrected, request deletion or restriction in certain circumstances, object to certain processing and withdraw consent where processing is based on consent.

These rights are not absolute. In particular, a request involving information about another person or confidential joint therapeutic material may require careful consideration before anything can be disclosed.
